To provide our operations dashboard and field reporting services, we collect several categories of information:

Account & Registration Data: We collect names, email addresses, phone numbers, security PINs, credentials, and organization structures when administrators configure their company workspace.

Project & Operation Records: We store details concerning active projects, including site addresses, timelines, budgets, status logs, task lists, and notes uploaded by project managers.

Daily Field Reports (DFR): We process and store documentation of work progress, including site logs, weather descriptions, material usage records, machinery and equipment logs, labor activities, and attachments/photos uploaded directly from construction sites.

Expense and Invoice Claims: When you submit reimbursement requests, we collect expense descriptions, dates, currency amounts, categories, and photos or digital uploads of payment receipts.

3. Location-Based Tracking

Because ProjectPal is designed to coordinate operations on physical construction sites, the Service collects location data:

Timesheet Clock-In & Clock-Out: We collect and log precise geographic coordinates (latitude and longitude) at the exact moment a worker clocks in or out of a shift. This verifies that crew members are physically present on designated project sites.

Continuous Tracking Disclaimer: ProjectPal does NOT track your device location continuously in the background. Location coordinates are strictly captured as single, point-in-time entries tied directly to active check-ins, check-outs, or submission of Daily Field Reports.

4. How We Use Your Information

We use the collected information to power ProjectPal's management tools, including:

Providing the Core Services: Enabling organizations to draft and sign Daily Field Reports, generate timesheets, submit expenses, track change requests (AWFs), and configure roles.

Multi-Tenant Administration: Ensuring organization data is strictly isolated so that only authorized administrators, managers, and personnel within your company can view your workspace records.

Security & Authentication: Verifying user identities using emails and secure custom security PINs to prevent unauthorized database access.

System Improvements: Analyzing usage trends to optimize portal speeds, debug errors, and design new tools for construction managers.

5. Information Sharing & Isolation

Your trust is paramount. We handle your organizational data with the utmost security:

Strict Tenant Isolation: Your timesheets, project details, DFRs, and expenses are private to your registered Organization. Users from other companies cannot access or view your workspace under any circumstances.

Organization Administrators: Be aware that your Organization Administrators and designated managers have full administrative access to view your timesheet records, logged locations, field reports, and expense claims.

No Selling of Data: We never sell, rent, or trade your personal information or company records to marketing agencies or third parties. Information is only shared with database hosters, cloud storage providers, and email handlers necessary to deliver the Service.

6. Data Security & Retention

We implement enterprise-grade security protocols to protect your files and records:

Security Safeguards: All traffic is encrypted using TLS/HTTPS protocols. Data stored on our servers is protected by modern firewalls and access control lists (ACLs).

Data Retention: We retain workspace data for as long as your Organization maintains an active subscription with ProjectPal. If an administrator terminates the account, we will purge all associated files, reports, and personal credentials within 30 days of the request, subject to legal or regulatory archiving requirements.

7. Your Privacy Rights

Depending on your jurisdiction, you or your Organization Administrator have the following rights:

Access & Portability: Request a copy of the active project records, timesheets, and reports stored in your workspace.

Correction: Correct inaccurate names, email listings, or profile details directly inside the account settings.

Deletion: Request that we delete specific personal accounts or organizational workspaces by contacting support.

Withdrawal of Consent: Stop location capture by disabling location services in your browser/device permissions, noting that this may restrict your ability to clock in or out of project shifts.
